The Board has been working with MMI to come to an understanding on Clubhouse Rental Procedures that we could relay to all residents. We will continue to keep the $25 fee. We will also continue to request the $200 security deposit in case of : 1) any damages, 2) someone does not clean up after themselves 3) and/or does not return the key in the drop box that will be placed in there upon leaving the clubhouse. These are just some examples of violations which are subject to but not limited to only these three. The ramification of any Clubhouse Rental violations would make any security deposit subject to forfeiture. There will be two designated people within Danforth that will hold a key in order for residents to obtain. These two people will be part of our Building & Grounds Committee that will be appointed. These same two people will be responsible for checking the clubhouse after each use to determine how it was left and ensuring the key has been left in the drop-box. In the event we determine that two people are not sufficient for the needs of the Community once we put this in place we can revisit these procedures. MMI will always be the back-up for a key if/when needed. In order to obtain the key you must pay your $25 fee and $200 deposit to MMI first. The Board will not be responsible for taking the money from the residents. You will have the option of going straight to MMI’s Bonita office to pay and pick the key up right then as long as it is no more than 2 days before your actual booking date. Should you choose to mail your payments to MMI and wish to obtain the key from one of the two designees here in Danforth, MMI will notify one of those people that you have paid and when you are eligible to receive your key for your event. The key must be placed in the drop-box upon leaving the Clubhouse. It is the responsibility of the renting party to clean the clubhouse and leave it in the same if not better condition than found. A checklist will be provided as a reminder of things to do prior to exiting in regards to dishes, furniture, counters, inside/outside lights, air control, decorations, pool area etc. All trash should be bagged and placed either in the Clubhouse trash can or out in the Clubhouse Dumpster****NOTE: THE DUMPSTER IS ONLY INTENDED TO BE USED FOR CLUBHOUSE TRASH, not resident’s household trash. We have our pick-up every Tues morn that our taxes pay for. Please do not make our Community pay for unnecessary charges by having to call for an additional pick-up. To place other household trash containing raw food items, animal waste, etc in the dumpster is only opening us up for a serious rodent problem. Until we get everything in place with the drop-box and two designees you will have to go to Bonita or can arrange to pick up the key at the Clubhouse, once paid, by meeting Maritza/janitor there on a Wed or Fri between 1:00-4:30. We hope to have everything in place no later than the end of June to make it a little more convenient for everyone. Unfortunately, the reason we had to discontinue mailing keys out was because of how many were claimed to be lost in the mail and never returned to MMI. That is also why the locks had to be changed. Thank you for your cooperation, patience and understanding in this matter. Enclosed below is a condensed version of these procedures that will be posted on the Clubhouse bulletin:
1.Call MMI to determine date/time availability, (239) 949-7741 EXT 204 2.Mail or hand deliver (2) checks to MMI 3.Key pick-up options (available no more than 2 days before the event) 4.Event use 5.Clubhouse Inspection (B & G Committee) 6.Deposit returned to Renter from MMI (anticipating that clubhouse is cleaned as expected , no damages and key was left in drop-box etc) ***In the event that that the clubhouse is (1) damaged, (2) not returned to its original condition (3) the key is not placed in the drop box upon your event’s conclusion, etc your deposit is subject to forfeiture.

The key drop-box has now been installed. It is just a matter of getting the Bldg & Grounds committe together and a Clubhouse Departure Check-off list in place. Our goal is no latter than the end of June but hopefully sooner!! IP: Logged |

Have any committee members been designated as clubhouse keyholders? Or can the key still be picked up from the cleaning person on Wed. and Fri.? Will she just assume we are who we say we are? MMI does not send a receipt stating that the clubhouse is reserved and fees were paid. IP: Logged |

Janeen We hope to cover this at the meeting Monday as far as the designees and have in place by the end of next week. We hope to appoint the Building & Grounds Commitee along with the Architectural Review Committee and Social Events/Welcome Committee. I will make a post or send an email with the info. Should you need it before then you can arrange with MMI accordingly. DRAFT of Updated Clubhouse Rental Procedures: DRAFT The Board has been working with MMI to come to an understanding on Clubhouse Rental Procedures. We will continue to keep the $25 fee. We will also continue to request the $200 security deposit in case there would be any damages, someone does not clean up after themselves and/or does not return the key in the drop box that has been placed in there upon leaving the clubhouse. The ramification of any of these 3 violations could forfeit a refund of the security deposit. MMI’s delegated representative is responsible for advising homeowner of all requirements and/or providing them with a copy of these procedures as part of the paperwork they are to fill out and sign. Management Co. is also responsible for checking to make sure the homeowner renting the clubhouse is in good standing regarding association dues. Any outstanding debt past 90 days will result in forfeiture of clubhouse rental privleges. Available clubhouse rental hours of use are no earlier than 6AM to be vacated no later than 1AM. No clubhouse rental hours available between 1AM to 6AM. There will be two designated residents within Danforth that will hold the key in order for resident renters to obtain. These two residents are part of our Building & Grounds Committee that has been appointed: Sean Dean and Kathy Oliver. These same two people will be responsible for checking the clubhouse after each use to determine how it was left and ensuring the key has been left in the drop-box. No-one other than these appointed residents should have access to the Clubhouse nor be permitted to enter the Clubhouse in order to pick up the returned key and verify all is in order. No-one under the age of 18 is permitted to rent the Clubhouse unless accompanied by an adult. In order to confirm a reservation and obtain the key you must pay your $25 fee and $200 deposit to MMI first. The Board will not be responsible for taking the money from the residents. Residents will have the option of going straight to their Bonita office to pay and pick the key up right then as long as it is no more than 2 days before your actual booking date. (example: Mrs. Jones calls Feb 1st to book a exercise class every Thurs… Mrs. Jones is not permitted to book dates further than March 1st at that time; Mrs. Jones could call back Feb 7th to book the following week of March 7th but again no further because she still has a month worth of bookings already.) The key must be placed in the drop-box upon leaving the Clubhouse. The Clubhouse should have no remnants of a party, gathering, etc taking place. No dishes, dirty counters, no inside lights left on, no decorations left up, nothing outside and around the pool area if used. Pool furniture is not permitted to be taken from the pool area for use inside of the Clubhouse during a rental. Thanks for the info. Everything stated is very feasible. I have a couple of issues though that I would like to be discussed as I rent the clubhouse often. 1)We need to be able to control the air-I had an event on the 4th and the 5th. The evening of the 4th it was warm inside, but we dealt with it as the even was under 2 hours. The morning of the 5th, it was not only warm, but muggy as well. We could not have tolerated our event had I not gotten someone from the board to adjust the air down from 78!!! However, not having access myself, it then got too cool later on. I didn't want to call that member again to come up as "air control monitor" is not what you all signed up for. I also could not adjust it down at the end of the event. 2) The overhead lights are on a timer. Is there any way to get rid of that so that as a renter I can manually turn them on? It's difficult to do our scrapbooking without enough light. 3) ANTS!!! This continues to be a problem. WE had to throw food out from Friday night because it got infested while we were having our meeting. Fortunately I was aware of this and brought a table the next day to use outside of the kitchen so our food wouldn't be ruined. However, I cleaned Friday night and there were still ants in the kitchen even though there was no food there for the next day. Tracy For the time being until the thermostat can be moved back to where it was or an alternate plan the temperature has been adjusted down to 74. In the past when there was free use of it, people would knock it down to 68 or 70, or even lower, while there but never put back up to a standard temp that it should be kept at...therefore causing it to run for some time un-necessarily inflating our electric bill and freezing out the next people in there to use it. Please feel free to share any possible remedies to this dilema. I agree about the overhead lights being on a timer! Drives me nuts as well and I will put on the agenda for the next meeting to see what options there are. We have inquired what was actually done for an internal pest visit we just had a couple weeks ago to be this bad again already. IP: Logged |

REVISED CLUBHOUSE PROCEDURES & FEE STRUCTURE AS OF 1/15/06: (IN FINAL DRAFT FORMAT AT of 1/31/06 but new rates are and have been in effect ): RENTAL POLICIES & PROCEDURES 1. Who is eligible to rent the clubhouse? No-one under the age of 21 is permitted to rent the Clubhouse unless accompanied by an adult. Renter must be a Danforth Lakes resident “over 21 years of age and present” the entire time during such function. No-one other than a Danforth Lakes verified resident/renter will be permitted to rent the Clubhouse. No resident is permitted to rent the Clubhouse more than 12 times in the calendar year. 2. What types of events are permitted to take place at the clubhouse? Private parties for individuals and families. Not-for-profit organizations/ Independent distributors (Mary Kay, Tupperware, Party-Lite, Pampered Chef events, etc. as along as the homeowner renting is the one conducting the event. No more than 40 people max are permitted in the Clubhouse for any rented event. No Corporate events will be permitted. 3. When is the clubhouse available/not available? Available clubhouse rental hours of use are no earlier than 8AM to be vacated no later than 10:00PM. No clubhouse rental hours available between 10:30PM to 7:30AM. The Clubhouse is NOT available to be rented on any of the Nationally recognized Holidays or Christmas/New Years Eve. 4. How far in advance can a homeowner make a reservation? Reservations cannot be made for continual consecutive weeks beyond 30 days in advance in order to allow a fair opportunity for all residents to have use of the Clubhouse for a special event. (Example: Mrs. Jones calls Feb 1st to book an exercise class every Thurs… Mrs. Jones is not permitted to book dates further than March 1st at that time; Mrs. Jones could call back Feb 7th to book the following week of March 7th but again no further because she still has a month worth of bookings already.) Otherwise, a single reservation can be made up to 6 months in advance. 5. Last minute reservations—last minute reservations will be handled based on availability at that time but must be at least 72 hours in advance so proper procedures can be followed. Reservations cannot be guaranteed in this such instance and is highly recommended to make such reservation at least one week ahead of time. 6.How does a homeowner reserve a date? To make a reservation a homeowner must call the Management Company, Hayden & Associates, and reserve the date. Hayden & Assoc will then forward (via mail, fax or e-mail) a Clubhouse Use Agreement along with a copy of the Clubhouse Rental procedures FAQ's (4 pages)to the homeowner for review/completion. A reservation is NOT confirmed until BOTH checks owed are submitted. 7. What does a homeowner do to complete a reservation? In order to confirm a reservation and obtain the key you must pay your rental fee based on the time slot picked that you will need the Clubhouse at the set fee of $60.00 for a 4hr time slot and a $250.00 deposit by (2 separate checks) to the Management Co. The Management Co. is not permitted and will not accept any cash payments. The Board will not be responsible for taking the money from the residents. BOTH checks must be received in order to CONFIRM any reservation. Otherwise it will remain as an open, available date. 8. How much is the set fee? The set fee is based on a 4-hr time slot and can only be rented a minimum of 4 hours (1 Slot)or 9 hours (2 Slots) and a maximum of 12 hrs (3 slots) on any given day between the hours of 8AM to 10PM. Available time slots are: 8AM-12PM / 1PM-5PM or 6PM-10PM NOTE: All set-up/clean-up must occur within rental period. The Association reserves the right to establish time limits due to other rental reservations of the Clubhouse. 9. How soon do I need to pay the fee and deposit after I call the Mgt Co. to hold a reservation date for me? Residents will be given 10 days to complete/return the Clubhouse User Agreement that will be sent and should be returned to the Mgt Co. with TWO SEPARATE checks made out to Danforth Lakes Homeowners Association in the amount of each $60 for 1 time Slot, $120 for 2 time slots or $180 for all 3 time slots (full day) & a $250.00 security deposit. If the Mgt Co. does not receive your agreement COMPLETELY filled out with all requested info and initialed in all areas within 10 days from the date written on the User Agreement, you agree that this could forfeit your request for reservation on this date should someone else request it. 10. How do I know my reservation is confirmed? Your reservation will be confirmed via email to the designated Board Members and Building & Grounds contact person, from the Mgt Co. once all required info has been received (completed User Agreement and two separate checks for the correct amounts). 11. How should the homeowner obtain the key? ? Residents will receive a confirmation email/phone call once all proper documentation has been received. Residents will be provided with the designated key keeper’s phone number in this email/phone call. The two key keepers along with designated Board members will receive a separate email confirmation in which they will be given the renters contact info: phone number(s), address, date/time slot, type of event and email address which confirms that the User Agreement and all required monies have been received. Key Keepers are to ensure that residents are contacted no earlier than 48hrs in advance and no later than 24 hrs before a scheduled event to arrange key pick-up/drop-off arrangements. Keys WILL NOT be mailed out to residents. Keys are not permitted to be given out more than 48 hrs in advance unless deemed a necessity. 12. How far in advance should the homeowner expect to be contacted for key delivery? The homeowner should contact one of the key keepers no sooner than 24-48 hrs of their scheduled event to arrange key pick-up or drop-off. The key keeper is also permitted to contact the resident renter if necessary and should be aware of any/all upcoming events. 13. What should the homeowner do if there is a problem with the clubhouse on the day of the event? The homeowner cannot really do anything about a problem on the spot. The homeowner can attempt to contact the key keeper to see if it may be within their power to help in any such way rectify the problem at hand. The HOA strives to ensure that the Clubhouse is back in order after each event to prevent such an occurrence. The HOA nor the Management Co. is not responsible for unforeseen circumstances that may affect the quality of the event and the rental is basically an “as is” agreement. 14. The use of fog/smoke machines and confetti are not permitted. 15. No tape, thumb tacks or glue may be used to place decorations on the walls or counters. No Clubhouse decorations may be removed from the walls at any time. 16... in review... 17. STILL IN REVIEW 18. Is smoking permitted in the Clubhouse? NO SMOKING is permitted within any enclosed room or area of the Clubhouse. 19. STILL IN REVIEW 20. STILL IN REVIEW 21. What if I need to cancel a reservation? cancellations must be received at least 1 week in advance of reserved date in order to receive both deposits back. Cancellations between 1-6 days notice will forfeit my initial rental fee charge which is based on the number of hours I requested. 22. How are returned checks handled? Any returned checks will be billed back to the homeowner along with any fees incurred for immediate repayment within 10 days. Future rights/reservations to the Clubhouse could also be denied. 23. STILL IN REVIEW 24. What are the homeowner’s responsibilities following the event? The key must be placed in the drop-box at the Clubhouse upon leaving the Clubhouse. The Clubhouse should have no remnants of a party, gathering, etc taking place. No dishes, dirty counters, no inside lights left on, no decorations left up, nothing outside and around the pool area if used. The air temperature should be set back to 75 degrees if it was moved. Failure to do any of the above may result in forfeiture of deposit given in order to offset additional expenses incurred (cleaning, inflated electric bill, etc). Pool furniture is not permitted to be taken from the pool area for use inside of the All trash should be bagged and placed either in the Clubhouse trash can or out in the Clubhouse Dumpster. The resident is responsible to provide all garbage bags which must be plastic. The bags must be tied securely, have no tears or rips, and be taken out to the Clubhouse dumpster in the fenced area and place INSIDE the dumpster. The Clubhouse Dumpster is ONLY for Clubhouse use. 25. What happens if I fail to follow any of the above guidelines? Failure to comply with any or all rules set forth in these guidelines may result in forfeiture of $250 deposit and limit or possibly even revoke your privilege to rent the Clubhouse in the future. By signing this page I am agreeing that I have thoroughly read all 4 pages within and agree to abide by the Clubhouse procedures set forth in our Community.
